Challenge

A global organization operating across three time zones relied on a small, centralized HR team to answer employee policy questions. As the company grew, the HR team became overwhelmed by repetitive inquiries regarding leave, remote work, and internal policies. Employees often waited hours, or even a full day, for answers to questions about time off or work-from-home policies. Many new hires struggled to navigate lengthy policy documents and lacked confidence that they were referencing the current version. This created unnecessary delays, increased the administrative burden on HR, and introduced the risk of inconsistent policy interpretation.


Our Solution

To support a global workforce, the company deployed a custom AI Agent integrated directly into its existing communication platform. Unlike traditional chatbots that rely on manual scripts, the solution connects dynamically to the HR team’s live policy documents, enabling instant, verified answers 24/7.

  • Live Policy Integration: AI parses answers directly from linked policy documents, ensuring employees always receive the most up-to-date information the moment a document is edited.

  • Source-based Verification: Every response includes a direct link to the corresponding section of the source document, enabling employees to verify the information and view the full context.

  • Escalation Pathways: The system retains a “human-in-the-loop” design, allowing employees to instantly escalate complex or sensitive queries to a human HR representative with a single click.

  • Continuous Learning and Improvement: The agent logs and categorizes unanswered questions, providing HR with a prioritized roadmap of which policies need to be updated or clarified.



Example

For a new hire navigating the company's flat organizational structure, simple policy questions often brought a mix of anxiety and frustration. Previously, finding an answer meant searching through shared folders or scrolling through 30-page documents, often unsure if they were reading the latest version. 


Today, the same employee opens a private Google Chat with the AI Agent and asks, "Am I allowed to work from home tomorrow?" Within seconds, the employee gets the answer they need, sourced directly from the latest policy document, without waiting for a response from HR. At the same time, the HR team avoids another routine support request, freeing them to focus on onboarding and complex employee matters.
